Purpose

This guide explains how EFVD handles withdrawals, refund questions, Final Tech outcomes, later car reviews, missed events, cancellations, postponements, and registration transfer requests.

All EFVD financial amounts—including fees, payments, deposits, refunds and cash prizes—are in CAD.

In the standard event flow, drivers should not pay registration until the selected car passes Final Tech and EFVD instructs them to pay.

It applies to standard EFVD competitions unless EFVD posts a different event-specific refund or transfer policy before registration opens.

Quick Reference

This table gives drivers a fast answer. Staff may still review unusual cases individually.

SituationDefault expectationDriver next step

Withdraw after registration closesNo automatic refund.Notify staff early so the roster, waitlist or bracket can be adjusted.
Car does not pass Final TechEntry payment should not have been made yet, so refund policy normally does not apply.Follow the inspection decision before paying registration.
Approved car does not pass Post-Approval ReviewNo automatic refund after payment.Follow staff instructions, use another approved eligible car if permitted, withdraw or wait for a future event.

Required live battle protest depositApplies only after three prior protests on the driver's Discord account have been resolved as Inadmissible and is handled under the Protest and Appeal Guide.Use the private protest ticket. Registration-refund rules do not control this deposit.

Withdrawal Requests

Drivers may withdraw, but timing matters. Early communication gives EFVD the best chance to adjust the roster, invite a waitlisted driver, update technical review workload and protect event flow.

TimingTypical handling
Before registration closesA confirmed withdrawal automatically refunds the $5 CAD registration product to the original payment method. The separate $1.50 CAD processing-fee product remains charged.
After registration closes but before roster lockStaff may adjust the roster or waitlist, but refunds are not automatic.
After roster, tech or bracket lockRefunds are normally not available unless EFVD posts an exception.
During live eventWithdrawal can create forfeit, bye, bracket adjustment or future selection impact depending on timing.

Event flow effects for late withdrawals are handled in the Competition Guide.

Refund Eligibility

Registration payment should happen only after the selected car passes Final Tech and EFVD issues the payment instruction. A driver who completes the official withdrawal confirmation before registration closes receives an automatic refund of the $5 CAD registration product to the original payment method. The separate $1.50 CAD processing-fee product is not refunded. It helps offset external payment costs associated with Stripe payment collection and refunds, as well as PayPal prize payouts. Allow up to 14 business days for an issued refund to appear on the original payment method.

Automatic pre-close refund

$5 CAD registration product

A confirmed withdrawal before registration closes automatically refunds only the registration product.

No automatic late refund

After registration closes

Late withdrawal, an unsuccessful Post-Approval Review, no-show, ban, removal, DQ, or missed deadlines do not automatically create a refund.

Case-by-case review

Staff discretion

EFVD may review unusual circumstances when the driver communicates early and clearly.

Event-specific policy

Posted terms control

If EFVD posts a different refund policy for a specific event, that event policy controls.

Processing-fee product

$1.50 CAD retained

The separate processing-fee product is not part of the registration-product refund.

Final Tech, Revisions and Later Reviews

A confirmed event registration includes one Final Tech submission before entry payment. If the car does not pass, the driver should not pay registration. The inspector's decision explains the required changes and states whether the Revision fee is required or waived.

After payment, a Post-Approval Review may find an issue with the exact approved version. This does not automatically cancel registration or guarantee a refund. Staff may initiate this discretionary compliance check before, during or after the event.

OptionMeaning
Submit a RevisionIf time allows and staff permits it, the driver may correct or replace the car according to the inspection decision.
Use approved saved carIf EFVD garage flow allows it and a previously approved eligible car exists, the driver may request to use that car for the event.
Optional Pre-Check or inspector serviceThe driver may choose human feedback, consultation or repair from an inspector. A privately agreed CAD fee may apply, but the service is never required and does not approve the car.
WithdrawThe driver may withdraw and wait for a future event without buying optional services.
Future eventThe driver may independently correct the car and submit again for a later event.

Car requirements are controlled by the Technical Regulations. Optional inspector service payment handling is explained in the Financial & Revenue Allocation Guide.

Missed Event or No-Show

Missing briefing, qualifying, battles or the event without staff approval can affect the live event and other drivers. It does not create an automatic refund.

IssuePossible impact
Missed briefingStaff may refuse participation, require extra confirmation or allow participation only if event flow permits.
No-show for qualifyingDriver may be removed, marked absent or lose event eligibility.
No-show for battleDriver may receive DNF, forfeit or removal from bracket.
Repeated reliability issuesFuture selection, license review or trust may be affected.

Event Cancellation or Postponement

If EFVD postpones an event, registration usually carries forward to the new date unless EFVD communicates a different plan.

If EFVD cancels an event, EFVD will communicate the event-specific handling, which may include refund, credit, transfer, carry-forward, revised prize handling or another posted remedy depending on event costs, sponsor terms and payment limitations.

If a driver cannot attend a postponed date, they should notify staff after the new date is announced so EFVD can review the case.

Registration Transfers

Registration transfers are not guaranteed. EFVD may approve, deny or limit transfers depending on event timing, roster status, tech status, payment records and competitive integrity.

Transfer typeDefault handling
Transfer to another driverRequires EFVD approval before roster, tech or bracket lock and may be denied if it harms event integrity.
Transfer to a future eventMay be considered case-by-case, especially when the driver communicates early.
Transfer after failed techNot guaranteed. Staff may treat the registration as used if official review work has already occurred.
Sponsored or promotional entrySponsor terms or posted event rules may limit transferability.

Prize and Payment Impact

Refund and withdrawal decisions are separate from prize eligibility. A driver who withdraws, misses required steps, fails technical review, is disqualified, is removed or cannot provide payout details may lose prize eligibility.

Cash prizes are paid in CAD through PayPal only. A winner must give EFVD a PayPal email linked to an account that can receive CAD within 14 calendar days after the event finishes. Missing this deadline or failing to provide an eligible account forfeits the prize. EFVD does not offer an alternate payout method.

EFVD will confirm the receiving details with the winner. EFVD will then issue the prize within 14 calendar days. This separate issuance period begins on the date EFVD sends that confirmation.

PayPal processing, holds or account reviews after EFVD issues the payment are outside EFVD's issuance period. An external PayPal delay alone does not forfeit the prize.

Payout sources and fund allocation are explained in the Financial & Revenue Allocation Guide. Competition eligibility and event result handling are explained in the Competition Guide.

Final Policy Statement

EFVD wants drivers to understand expectations before paying registration. A confirmed withdrawal before registration closes automatically refunds the $5 CAD registration product; the separate $1.50 CAD processing-fee product remains charged. Later refunds, credits and transfers are not automatic unless EFVD confirms an exception.

Event-specific notices posted by EFVD before registration opens can modify this guide for that event.
