Purpose

This guide explains how EFVD handles withdrawals, refund questions, failed technical inspection, missed events, event cancellation or postponement and registration transfer requests.

In the standard event flow, drivers should not make registration payment until their car tech is approved and EFVD instructs them to complete payment.

It applies to standard EFVD competitions unless EFVD posts a different event-specific refund or transfer policy before registration opens.

Quick Reference

This table gives drivers a fast answer. Staff may still review unusual cases individually.

SituationDefault expectationDriver next step
Withdraw before registration closesRefund or transfer may be considered if EFVD has not already committed event costs.Tell staff immediately through the official Discord process.
Withdraw after registration closesNo automatic refund.Notify staff early so the roster, waitlist or bracket can be adjusted.
Car fails before paymentRegistration payment should not have been made yet, so refund policy normally does not apply.Use the car review notes and Technical Regulations before paying registration.
Approved car fails later reviewNo automatic refund after payment if a previously approved car later fails spontaneous inspection, revision review or post-approval compliance review.Correct the car if time allows, use an approved saved car if permitted, withdraw or wait for a future event.
Miss briefing or eventNo automatic refund.Contact staff only if there is a serious issue that needs review.
Event postponedRegistration usually carries forward to the new date unless EFVD says otherwise.Confirm availability when EFVD posts the updated schedule.
Event cancelled by EFVDEFVD will communicate the event-specific refund, credit, transfer or carry-forward plan.Wait for the official cancellation notice and instructions.
Transfer requestNot guaranteed and must be approved by EFVD.Request before the event roster, tech process or bracket is locked.

Withdrawal Requests

Drivers may withdraw, but timing matters. Early communication gives EFVD the best chance to adjust the roster, invite a waitlisted driver, update technical review workload and protect event flow.

TimingTypical handling
Before registration closesStaff may review refund, credit or transfer options if event costs have not already been committed.
After registration closes but before roster lockStaff may adjust the roster or waitlist, but refunds are not automatic.
After roster, tech or bracket lockRefunds are normally not available unless EFVD posts an exception.
During live eventWithdrawal can create forfeit, bye, bracket adjustment or future selection impact depending on timing.

Event flow effects for late withdrawals are handled in the Competition Guide.

Refund Eligibility

Registration payment should happen after car tech approval and EFVD payment instruction. Paying registration secures event processing, staff planning and event operations. It does not guarantee a refund if a driver later cannot attend, does not complete requirements or becomes ineligible.

No automatic refund

Default rule

Withdrawal, later failed tech review, no-show, ban, removal, DQ or missed deadlines do not automatically create a refund.

Case-by-case review

Staff discretion

EFVD may review unusual circumstances when the driver communicates early and clearly.

Event-specific policy

Posted terms control

If EFVD posts a different refund policy for a specific event, that event policy controls.

Payment fees

May be excluded

Processor fees, exchange fees or platform fees may be non-refundable where applicable.

Failed Technical Inspection

If a car fails initial tech before payment, the driver should not pay registration yet. The driver should use the car review notes, correct the car if time allows, request optional help if they choose, withdraw from the event process or wait for a future event.

The refund policy applies differently after payment. If a previously approved car later fails spontaneous inspection, revision review, post-approval compliance review or another required check, that later failure does not automatically cancel the registration or guarantee a refund.

OptionMeaning
Correct and resubmitIf time allows, the driver may fix the car and submit a revision according to staff instructions.
Use approved saved carIf EFVD garage flow allows it and a previously approved eligible car exists, the driver may request to use that car for the event.
Optional inspector serviceThe driver may choose paid pre-tech, additional review, consultation or repair services from an inspector, but this is never required.
WithdrawThe driver may withdraw and wait for a future event without buying optional services.
Future eventThe driver may independently correct the car and submit again for a later event.

Car requirements are controlled by the Technical Regulations. Optional inspector service payment handling is explained in the Financial & Revenue Allocation Guide.

Missed Event or No-Show

Missing briefing, qualifying, battles or the event without staff approval can affect the live event and other drivers. It does not create an automatic refund.

IssuePossible impact
Missed briefingStaff may refuse participation, require extra confirmation or allow participation only if event flow permits.
No-show for qualifyingDriver may be removed, marked absent or lose event eligibility.
No-show for battleDriver may receive DNF, forfeit or removal from bracket.
Repeated reliability issuesFuture selection, license review or trust may be affected.

Event Cancellation or Postponement

If EFVD postpones an event, registration usually carries forward to the new date unless EFVD communicates a different plan.

If EFVD cancels an event, EFVD will communicate the event-specific handling, which may include refund, credit, transfer, carry-forward, revised prize handling or another posted remedy depending on event costs, sponsor terms and payment limitations.

If a driver cannot attend a postponed date, they should notify staff after the new date is announced so EFVD can review the case.

Registration Transfers

Registration transfers are not guaranteed. EFVD may approve, deny or limit transfers depending on event timing, roster status, tech status, payment records and competitive integrity.

Transfer typeDefault handling
Transfer to another driverRequires EFVD approval before roster, tech or bracket lock and may be denied if it harms event integrity.
Transfer to a future eventMay be considered case-by-case, especially when the driver communicates early.
Transfer after failed techNot guaranteed. Staff may treat the registration as used if official review work has already occurred.
Sponsored or promotional entrySponsor terms or posted event rules may limit transferability.

Prize and Payment Impact

Refund and withdrawal decisions are separate from prize eligibility. A driver who withdraws, misses required steps, fails technical review, is disqualified, is removed or cannot provide payout details may lose prize eligibility.

Payout sources and fund allocation are explained in the Financial & Revenue Allocation Guide. Competition eligibility and event result handling are explained in the Competition Guide.

How to Request Review

Refund, withdrawal and transfer requests should be handled privately through the official Discord process or another EFVD-approved contact method.

Use the official Discord process and identify the event.

  2. 02

    Explain the issue

State whether you are requesting withdrawal, refund review, credit or transfer.

  3. 03

    Provide details

Include registration name, Discord user, payment reference if requested and timing constraints.

  4. 04

    Wait for review

Staff will review based on policy, timing, event costs, roster status and payment limitations.

  5. 05

    Follow instructions

Complete any required confirmation before the request can be closed.

Final Policy Statement

EFVD wants drivers to understand expectations before paying registration. The default position is simple: communicate early, follow the posted event process and do not assume a refund, credit or transfer exists unless EFVD confirms it.

Event-specific notices posted by EFVD before registration opens can modify this guide for that event.

Policy Changes

EFVD may modify this guide when needed to support sustainability, fairness and the continued growth of the championship.
